You typed podcast production agency conference into a search box. You got the same five names every list repeats, most with no working date. Podfest Expo sells a badge just for editors, not only podcasters. Podcast Movement is $199 in New York this September, and its companion show at SXSW next March costs nothing at all.
SXSW is adding podcasting as a full festival pillar in 2027, next to Film, Music, Comedy and Innovation. A free preview of that world already runs each March as Podcast Movement Evolutions. Meanwhile She Podcasts LIVE has no confirmed date. A few famous audio names on old lists are not built for a production shop at all.
Editors asking whether these events are worth the badge get a split answer, and the split depends on who is asking. One take is blunt. Podcast conferences carry the most immediate value if you sell to other podcasters, which is exactly what an editing shop does. This guide sorts the real dates from the dead ones, and which badge fits your shop.
Six real events have a date through December 2027, and one of them is free
Six events have a real date between now and the end of 2027. That beats most niche agency calendars, and one of the six costs nothing to attend. The timeline and table below hold every one, plus the price and who it is actually built for.
| Event | City | Dates | Badge | Who it is actually for | What someone said |
|---|---|---|---|---|---|
| Podcast Movement | New York (Terminal 5) | Sept 17 to 18, 2026 | $199 general (tickets) | Podcasters and the brands, agencies and editors who serve them | generally worth it if you know what to expect |
| Sounds Profitable Business Summit | New York (Terminal 5) | Sept 14 to 15, 2026 | $2,000 a ticket, Sounds Profitable partners only | Senior podcast executives and ad buyers, not a room you can just walk into | a partners only summit |
| PodSummit | Calgary, Alberta | Oct 16 to 17, 2026 | Price not posted (passes) | Canadian podcasters and creators, with production and storytelling tracks | let's go to PodSummit |
| Podfest Expo | Orlando (Renaissance at SeaWorld) | Jan 14 to 17, 2027 | $99 to $749 across five tiers (tickets); a separate Editor Pass exists | Podcasters, and distinctly the editors, producers and VAs who work for them | a family feel |
| Podcast Movement Evolutions | Austin, at SXSW | Targeting March 2027 (no exact date yet) | Free with pre-registration (why it is free) | Working podcasters and indie hosts; capacity capped at 400 | SXSW badge holders get priority entry |
| The Podcast Show | London (Business Design Centre) | May 19 to 20, 2027 | £59 to £395 (2026 prices; 2027 not posted yet) | UK and EU agencies, brands and the business side of podcasting | a massive event, podcast is a serious business |
Podcast Movement in New York is the anchor. It runs September 17 to 18, 2026, at Terminal 5, and a general admission ticket is $199 with no tiers above it. The program covers production and editing alongside growth and monetization, so the room is not just hosts.
SXSW just made podcasting one of its five core pillars. Starting in 2027, a dedicated Podcast Festival track joins Film, Music, Comedy and Innovation. Any SXSW badge gets you in. Podcast Movement Evolutions, the free preview show that already runs next to SXSW each March, returns that same week.
Podfest Expo is the only badge built around your job title. It runs January 14 to 17, 2027, in Orlando. Its five ticket tiers include a distinct Editor Pass, priced apart from the Creator and VIP passes. No other event on this list names editors by job title.
The calendar goes quiet after May 2027. Nothing used in this guide's research has a published date between The Podcast Show in London and the end of that year. Watch the linked pages rather than planning a second half trip around a rumor.
Podcast Movement and Podfest Expo are the two names editors keep naming
Two names keep coming up when editors ask which conference to attend. Podcast Movement is the bigger room and the higher price. Podfest Expo is smaller, cheaper, and the only one with a pass built for editors specifically.
Podcast Movement pulls the widest crowd of buyers. Someone weighing whether to go found it generally worth it if you know what to expect. A returning attendee in Dallas called out the absence of D-tier celebrities as a real plus. The floor stays full of working podcasters instead.
Not everyone agrees it is worth the price. One thread comparing the main event to its Evolutions edition put it bluntly. "Both are extremely overpriced, have little impact in the industry", with the higher ticket tiers named as the worst value. Buy the plain $199 badge and skip anything more expensive.
Podfest keeps its indie, family feel on purpose. One attendee calls it a great conference full of friendly people. Another says it remains indie focused with a much more family feel than Podcast Movement. That is exactly the room a small shop can work in a weekend.
Pick Podcast Movement for reach, Podfest for fit. Podcast Movement puts you in front of more brands and bigger shows for $199. Podfest costs less at its lower tiers and hands you a badge that tells every host in the room what you do for a living.
Both events have fans who keep coming back. One person who has gone to every one says Podcast Movement is worth it every time. Another thread names it the big one most people point you toward first. Podfest has its own long run too, once called a similar show in Florida that stayed small on purpose.
A badge runs from free to $2,000
The spread on this list runs from free to $2,000. That is a bigger range than most agency conference calendars, and price does not track how useful the room actually is.
The free option is real, not a gimmick. Podcast Movement's own team explained the move plainly. Bringing the show to SXSW, and making it free, was the point, so more working podcasters could get in the room. Capacity is capped at 400, and SXSW badge holders get priority entry.
Getting into the building at all still costs money. Evolutions sits inside SXSW week. The festival itself charges $820 to $1,995 for a general badge, since no separate Podcast Festival ticket exists yet. If you already planned to attend SXSW anyway, the podcast track is free once you are inside.
The Sounds Profitable Business Summit sits at the very top for a reason. A ticket costs $2,000, and only Sounds Profitable partners can buy one. It is built for senior podcast executives and ad buyers, not a room a small editing shop can just walk into.
None of these five numbers tells you which room fits your shop. A free badge and a $2,000 one can both be the wrong purchase for the same team. The fork below sorts that out by who you actually work for.
Pick the room by who is buying, not by the biggest name
Every room on this list is built for one kind of buyer. Match the room to who pays your invoices, and most editing and production shops land on one of the two top rows.
If you already edit for clients, Podfest's Editor Pass is the obvious pick. It is the one badge on this entire calendar that names your job in its own ticket tier, at the lowest price on the list. Wear the badge and podcasters looking for an editor will find you first.
If reach matters more than price, go to New York. Podcast Movement puts the widest range of shows, brands and agencies in one room for $199, general admission only. It is the room to work if you want volume over intimacy.
If your shop has zero budget this year, Evolutions still gets you in the room. Free entry removes the only real barrier for a small team. The crowd is the same working podcasters Podcast Movement draws in September.
UK and EU shops have their own room. One first time visitor to The Podcast Show in London left sure that podcast is a serious business, spread over eleven stages at once. If your clients are in Europe, that badge does more than a flight to Orlando.
Everyone else should skip the badge this year. Maybe none of the rows above describe your shop. Maybe the travel budget just is not there. The next section covers what fills a client list without a badge.
Sounds Profitable, She Podcasts LIVE, and two more that are not this room
Three names come up on almost every best podcast conference list, and none of them fits a production shop. Two are real, dated events built for a different room. One has gone quiet.
| Name | Dates | Why it comes up | Why it is not this room |
|---|---|---|---|
| She Podcasts LIVE | No confirmed 2026 or 2027 date | Still recommended on every old best of list for this niche | Its last confirmed in person show was the smaller Unplugged format in January 2024 in Orlando; nothing newer is public |
| On Air Fest | Feb 23 to 25, 2027, Brooklyn | A famous name in audio, celebrating its 10th year | built for narrative and creative storytelling, not client production shops selling editing hours |
| RadioDays Europe | Mar 14 to 16, 2027, Palma, Mallorca | The biggest radio industry name in Europe | built for broadcast radio executives and networks, a different room than a small editing shop |
She Podcasts LIVE is the one every list still recommends without checking. Its last confirmed show was a smaller Unplugged format in January 2024, after the full event was cancelled the year before. No 2026 or 2027 date is public. Do not plan a trip around a name alone.
On Air Fest is a real, well loved festival, built for a different craft. It runs February 23 to 25, 2027, in Brooklyn, marking ten years of creative audio storytelling. That room suits sound artists and documentary makers. It is not a client trip for an editing shop.
RadioDays Europe is the biggest name in the room, and the wrong room. It runs March 14 to 16, 2027, in Palma, Mallorca, built for broadcast radio executives and network programmers. A small production shop will find little to do there that a Podcast Show London badge does not already cover closer to home.
If you go, work the room, and most editors skip the badge entirely
Most editors never buy a conference badge at all, and the forums say that is fine. The client pipeline for this work runs through communities and cold outreach far more often than through a registration desk.
| Method | What someone actually said | Cost |
|---|---|---|
| The Podcast Editors Club, on Facebook | helpful with finding clients | Free, your time |
| Cold outreach to businesses starting a show | find businesses who want to start their own podcasts | Your time |
| Reddit and podcaster Facebook groups | a good place to find podcasters who may not have an editor yet | Free |
| A referral from a show you already edit | we found our first editor from a show we were friendly with | Free, and it compounds |
| Upwork and Fiverr, for a first client | most of my original clients came from Fiverr | Platform fees, price pressure |
| Freelancer and entrepreneur communities | seek out and join communities for freelancers and entrepreneurs | Free, your time |
The Podcast Editors Club does more daily work than any badge. One editor recommends the Facebook group directly, calling it helpful with finding clients, the same as Twitter and Upwork. It costs nothing, and it runs all year, not once.
Cold outreach to new shows beats waiting for a badge to work. One producer says the fastest route to paid work is to find businesses who want to start their own podcast, before anyone else pitches them. That list exists whether you fly anywhere or not. One editor warns that Fiverr and Upwork are hard places to find work for that exact reason.
If you do go, work the hallway and the expo hall, not the panels. A Podfest attendee put the actual return plainly. "It's worth it for Saturday sessions but, the real value is in networking." The same holds at Podcast Movement and Evolutions. Sit in one session a day and spend the rest of the time talking to people.
Networking works when you stop pitching. An agency owner who books clients this way says the rule is simple. "Yes, all my clients come from networking. Biggest tip is not to push your business." Ask questions, remember names, and let the sample you send afterward do the selling.
Have a system ready before the leads show up. One production agency owner ran an ask me anything about the business, and the same question kept coming back: how do clients find you. Another producer who took on too many clients at once had to rebuild a pricing system under pressure. Sort yours before a conference sends five new leads in one weekend.
White label work is its own client pipeline. One editing agency owner's rule: go straight to the agency as a subcontractor, not the end client. A London studio that produces podcasts for big companies built that same relationship. Either path fills a calendar without another flight.
Send a finished sample within five days. Business cards and badge scans do nothing on their own. A short, finished edit of a real episode, sent while the conversation is still fresh, is what turns a hallway chat into an invoice.
Local, in person events work even when the flight does not. Someone starting a media post production agency was told to build the business first, then find the room your clients stand in. One agency owner's tip for finding clients now: find local events that attract your ideal client and show up without pitching. A regional show like PodSummit, or a free meetup like CampFire in Toronto, can do that job for less than a flight.
What to do about each thing you see
| What you see | What it means | What to do next |
|---|---|---|
| A best podcast conferences list with a dead 2023 event on it | Nobody updates these lists once a show stops running | Check the event's own page for a live date before you book anything. |
| Podfest Expo selling an Editor Pass | The one badge on this whole calendar built for your job title | Buy that tier specifically. It costs less than the Creator or VIP passes. |
| Podcast Movement Evolutions listed as free | A real SXSW partner event, capped at 400 people | Pre-register the day registration opens. Capacity is the only limit. |
| The Sounds Profitable Business Summit on a must attend list | A $2,000, partners only event for ad buyers and network executives | Skip it unless you already sell ad inventory and can get a partner invite. |
| She Podcasts LIVE still on an old recommendation list | No confirmed date since a smaller 2024 format | Do not plan a trip around it until a 2026 or 2027 date is posted. |
| A conference week on your calendar | The week you have the least time to answer new leads | Pre-write five outreach messages before you fly, so follow up takes minutes. |
| Ten new contacts and no plan for them | A badge introduces you, it does not close anyone | Send each one a finished sample edit within five days of getting home. |
Things to stop doing
- Trusting a best podcast conference list that still lists She Podcasts LIVE with no date attached.
- Buying the highest ticket tier at Podcast Movement before checking what it actually adds.
- Treating On Air Fest or RadioDays Europe as client development trips. Neither is built for that.
- Skipping Podfest Expo's Editor Pass because the general Creator Pass looks like the default.
- Flying to a badge with nothing to hand people. A business card gets thrown away; a sample edit does not.
- Waiting until you land to plan who you want to meet. By then the good conversations are already full.
A planning checklist, by month
- Now: pick one event from the fork above, based on who actually pays you, not the biggest name.
- Three months out: book the early tier. Podfest's cheapest passes and Evolutions' 400 spots both go first.
- Six weeks out: message ten shows by name, offering a free sample edit of one episode.
- Two weeks out: cut a two minute demo reel you can send from your phone the moment someone asks.
- The week of: one session a day, the hallway and the after parties the rest of the time.
- The week after: send a finished sample to every real conversation within five days.
